BJSO Policies

• Players are allowed to miss one rehearsal per cycle except the dress rehearsal unless approved by the board. (doesn’t apply to miscellaneous instruments such as keyboard, or harp)
• Players are allowed to miss one concert cycle per season with no impact to their player status.
• Players are allowed to miss two or more concert cycles per season once every three seasons with no impact to their player status.
• Players that miss two or more concert cycles for multiple seasons within a 3-year period, will be moved to the sub list unless approved by the board.

Rehearsals:

If a rehearsal is canceled due to inclement weather, illness or other reason, all members will be notified as soon as a decision is made but no later than two hours before start time via email or text message. A notice will appear on the Member Page of the BJSO website concerning the cancelation. If rehearsal is not canceled but you do not feel safe driving, please inform the personnel manager.

Concerts:

The policy is the same for concerts with the addition of notifying the electronic media of the cancellation.

Compensation Cancellation Policy:

Discussion during the May board meeting was batted back and forth as to what should be done in the event BJSO cancels rehearsals/Concert. Including compensation paid to the Musicians, Conductor and the refund of advanced tickets.

Orchestra-Initiated Cancellation (Event Canceled)

• Refunds Issued: "If a performance is canceled or postponed, a full refund of the ticket price will be made available to all advanced ticket purchases"
•  Season Ticket holders: Will received a prorated refund of the canceled portion of the season ticket.

                  (Another option)

• Account Credit: For canceled events, ticket holders will be offered the option to receive a   refund or donate the ticket value to the BJSO Symphony, or receive a credit toward a future concert

Musician/Artist Contract Cancellation

• Force Majeure Clause Example: "if... an act of God, or other circumstance beyond control of the BJSO requires cancellation... contracts shall be null and void for the affected services only"

Since at this time, the BJSO pays the musicians an honorarium, the Board pays the members based on attendance. In order for this to work, the BJSO Board would add as a budget line item $4000.00 as insurance to be made available to the musicians in the event a rehearsal/concert is canceled do to no fault of the members.

Conductor Compensation:

Since the conductor receive compensation through a grant, cancelation pay should be spelled out within the conductor agreement. At this point I suggest the BJSO pay full price if the concert is performed regardless of the number of cancelled rehearsal dates. If the concert itself is cancelled, the compensation

should be reduced by half.
